Weekly payroll, done properly

A lot of Bridgend employers pay weekly or fortnightly. That is normal in manufacturing, engineering, logistics and site work, but it changes the job completely.

Weekly payroll outsourcing works the same way as monthly, except there are fifty-two deadlines a year instead of twelve. Every one of them needs an RTI report filed on or before payday.

Where weekly payroll goes wrong

Shift and overtime payroll fails in specific places, and they are rarely the calculation itself.

Overtime and holiday pay. Regular overtime has to be included when you work out holiday pay. Plenty of employers still pay holiday at the basic rate only. Where overtime is routine rather than occasional, the shortfall is not small, and it compounds every leave year. The government’s guidance on holiday entitlement sets out the reference period to use.

Shift premiums and minimum wage. A night rate looks generous until you check the average across the pay reference period. If someone works unpaid time before or after their shift, or the hours are recorded loosely, the average can dip below the National Minimum Wage without anyone noticing.

Bank holidays. On a weekly payroll, a bank holiday week has fewer working days but the same pay run. Get the pattern wrong once, and it repeats every year.

Timesheets arriving late. The most common cause of a payroll error is not the software. It is Friday’s hours landing at four o’clock on a Thursday.

None of these are obscure rules. Holiday reference periods, pay reference period averaging and bank holiday patterns are core CIPP material, which is the difference between a payroll that is processed and one that is checked.
